About this Opportunity
We are seeking a highly motivated Site Administrator to join our team at Rowville. The successful candidate will be responsible for delivering excellent administrative support to our busy site and will be reporting into the HR Manager for the Rowville site.
You will be highly organised and have the ability to communicate with all levels in our business. You must have a strong focus on effective time management, attention to detail and the ability to multi-task.
Key Responsibilities:
- Provision of general administration support to the Operations Leadership Team.
- Ensure Operations stationery supplies are adequate to requirements.
- Organise and maintain Site Training Register in conjunction with the HSE, HR Manager and Site Manager.
- Coordinate bookings for meeting rooms.
- Management and control around necessary documentation and certification which meet legal, regulatory and/or customer requirements.
- Car park maintenance coordination.
- Security of site, including issuing and control of security cards.
- Manage incoming and outgoing mail and deliveries.
- Coordinate communication and notice board updates.
- Coordinate site events such as updates, leadership events, and functions, this includes end to end management of site's events/engagement calendars.
- Assist with HR administration as required.
- Maintenance of data systems as needed (including but not limited to: Intranet, Outlook, and SAP).
- Ensure all visitors to the site are attended to in a courteous manner and where possible their needs/requirements attended to.
- Arrange new employee access (swipe cards and keys) and workstations.
- Coordinate wellbeing initiatives and site events.
- Assist in any capacity that may be reasonably requested of you.
Successful candidate:
To be successful in this position, you will have:
- At least 1-2 years of experience in a similar role.
- Proficient written and oral communications skills.
- Proficient use of Microsoft Office Suite of products.
- SAP knowledge and application.
- Self-motivated and able to work autonomously as part of the bigger team
- A strong understanding of what constitutes customer service and application of effective customer service skills.
- Ability to manage a high volume of work and prioritise tasks.
- Diplomacy and initiative.
- Strong attention to detail.
